What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the booking form we collect the parent or carer's name, phone number, email address and postcode, the year group, how you would like to work, a preferred date if you give one, and anything you write, which usually includes the student's first name, subject and school. The form also records the time it was sent and your IP address, used only to block automated submissions.

When a student starts we hold their name, date of birth, school and year, the exam board, any special educational needs or access arrangements you tell us about, the assessment from the first session, the tutor's lesson notes, homework and mock results, the half-term reports, attendance, and the parent's payment records. For online lessons the recording is kept only with the parent's consent, on our own platform, and deleted at the end of the term. We do not collect anything from the student that we have not told the parent about.

Why we use it

  • To arrange and deliver the tuition and report to you (our contract with you, and our legitimate interest in teaching well).
  • To meet our safeguarding duties, including keeping a record of any concern and sharing it with the appropriate authority where the law requires (a legal obligation and the vital interests of the child).
  • To keep accounting records (a legal obligation).
  • Special educational needs information is special category data and is held only with your explicit consent, to teach your child properly.

Who sees it

The student's tutor and any cover tutor, the office staff, and Eleri as safeguarding lead. We do not share lesson notes, assessments or reports with schools unless you ask us to in writing. The review platform receives the parent's email address once after the first half term, and you can decline by replying. The booking form sends an email to us through the web host. We never sell or share your details, and we never share a student's work or photograph without written consent.

How long we keep it

Bookings that do not become students are deleted after six months. Lesson notes, assessments and reports are kept for two years after the student leaves, then deleted; accounting records for six years as the law requires; safeguarding records for the period the statutory guidance sets, which can be until the child is 25. Recordings of online lessons are deleted at the end of each term.

Your rights, and the student's

You can ask for a copy of what we hold about you and your child, ask us to correct or delete it, object to our using it, or withdraw consent for recordings or special category data. A student aged 13 or over may make these requests themselves. Email hello@brightsparktutoring.co.uk or write to the centre. We answer within a month. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
