What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the enquiry form we collect your name, phone number, email address and postcode, the date and package you have in mind, rough guest numbers and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.
When you book we hold the contract, the deposit and payment records, the planning notes (your timeline, supplier list, dietary requirements, the table plan and the room list for the Stables), the bar tab, and the names of guests staying overnight as the licensing rules require. We do not store card numbers; payments are by bank transfer or through our card provider.
Why we use it
- To answer your enquiry and arrange a viewing (our legitimate interest in replying to you).
- To perform the contract: planning, running and invoicing your event, and accommodating overnight guests.
- To meet our legal obligations: accounting records, the premises licence and the overnight guest register.
- To cook for dietary and allergy needs, which is special category data we hold only with your consent and delete after the event.
Who sees it
Ceri, Lowri and the kitchen and front-of-house team on the day, who see only what they need. Your suppliers receive the timeline and site sheet, not your contact details, unless you ask us to introduce you. The enquiry form sends an email to us through the web host. We never sell or share your details.
How long we keep it
Enquiries that do not become bookings are deleted after twelve months. Contracts and accounting records are kept for six years as the law requires; the overnight guest register for twelve months as the licence requires. Dietary information is deleted the week after the event. Planning notes are deleted a year after the event.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it, or withdraw consent. Email hello@tymawrbarn.co.uk or write to the office. We answer within a month. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
