What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the survey form we collect your name, phone number, email address and postcode, what you are interested in, the kind of property, a day if you gave one, and anything you write. The form records the time it was sent and your IP address, used only to block automated submissions. The savings estimate and the heat pump sizer store nothing; your answers are in the page address and nowhere else.

When we survey and install we hold your address, photographs and measurements of the roof, loft and rooms, your electricity or heating use if you share it, the design, the contract and invoices, the MCS and electrical certificates, and for heat pumps the information Ofgem needs for the Boiler Upgrade Scheme.

Why we use it

  • To survey, design, quote and install (our contract with you, or steps you asked for before one).
  • To register the installation with MCS and notify the network operator, and to apply for the Boiler Upgrade Scheme grant on your behalf (our contract with you, and the scheme's rules).
  • To keep certificates, warranty and accounting records (a legal obligation and our legitimate interest in honouring the warranty).

Who sees it

Our team. MCS, the network operator, Ofgem (for the grant), our consumer code and the warranty insurer receive what each needs. Manufacturers receive the product registration for their warranty. The review platform receives your email address once, a month after switch-on. We never sell your details.

How long we keep it

Enquiries that do not become work are deleted after a year. Installation records, certificates and designs are kept for the life of the warranty plus six years; accounting records six years.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, or object to our using it, subject to what we must keep by law. Email hello@southsidesolar.co.uk. We answer within a month. You can complain to the Information Commissioner's Office at ico.org.uk.
