What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the contact form we collect your name, phone number, email address and postcode, what the message is about, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.
When we arrange a funeral we keep a record of the person who has died (their name, dates, address, the medical and registration paperwork, and the instructions for their care), of the person arranging it (contact details, the arrangement, the estimate and the account), and of the funeral itself. Data about a person who has died is not personal data under UK GDPR, but we treat it with the same care. For pre-paid plans we keep the plan holder's details, their wishes and the payment record, as the Financial Conduct Authority requires.
Why we use it
- To arrange and carry out the funeral, including registering the death, booking the crematorium or cemetery, the minister, the flowers and the notices (contract).
- To issue the estimate and the account, and to help with the Funeral Expenses Payment if you ask us to (contract and legal obligation).
- To administer funeral plans under the Financial Conduct Authority's rules (legal obligation).
- To contact you at six weeks and on the anniversary, which you can decline at the arrangement or at any time (legitimate interest).
- To invite you to the bereavement group, if you have said you would like that (consent).
How long we keep it
Messages from the contact form that do not become an arrangement are deleted after six months. Funeral records are kept permanently, as is the custom of the trade and so that families can ask about a grave, a plot or an inscription decades later; the financial parts are kept for seven years as the law requires. Plan records are kept for the life of the plan and seven years after.
Who sees it
Eleri, Catrin and Huw. Beyond us, only the people who must have it to do their part: the registrar, the crematorium or cemetery, the minister or celebrant, the florist and the stonemason (name and the order only), the newspaper for a notice you ask for, the Department for Work and Pensions if you claim the Funeral Expenses Payment, and the funeral plan trust and its regulator for plans. The form is delivered by email to us; we do not use third-party form services or marketing platforms, and we never sell or share your details.
