What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the booking form we collect your name, phone number, email address and postcode, what you are interested in, when you could train, a day if you gave one, and anything you write. The form records the time it was sent and your IP address, used only to block automated submissions. The energy estimate and the habit sheet store nothing; your figures are in the page address and nowhere else.

When you start coaching we hold a health questionnaire (conditions, medication, injuries, pregnancy), your goals, session notes, any measurements you choose to share, your habit check-ins and payment records.

Why we use it

  • To coach you safely and run your sessions (our contract with you).
  • Health information is special category data, held with your explicit consent so we can train you safely and know when to ask you to see your GP.
  • To keep accounting records (a legal obligation).

Who sees it

Bethan and Rhys. With your agreement, your GP or a registered dietitian if we refer you. The review platform receives your email address once after your first month. We never sell your details and never share measurements or photographs.

How long we keep it

Enquiries that do not become coaching are deleted after six months. Client records are kept for three years after your last session for insurance purposes, then deleted; accounting records for six years.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it, or withdraw consent for health data. Email hello@lighter-living-coaching.co.uk. We answer within a month. You can complain to the Information Commissioner's Office at ico.org.uk.
