What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the booking form we collect your name, phone number, email address and postcode, what you need and how urgent it is, a preferred date if you give one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions. When you ring the emergency line we note your name, number, address and the job; calls are not recorded.
For every job we keep a job sheet: the address, the work done, the lock grades fitted, the price and the payment. For a lockout we record how you proved you were entitled to be there (the type of document, not a copy). For a car key we record the registration and that the V5C and photo ID were seen, as the trade requires. For account customers we keep the key register: which cylinders are on which doors and who holds which keys. We do not keep copies of your keys or your codes.
Why we use it
- To answer your booking and do the job (our contract with you, and our legitimate interest in replying).
- To keep the ID records that protect you and us: proving who we opened a door for, and who we cut a car key for (our legitimate interest, and the trade association's code).
- To keep accounting records (a legal obligation) and to honour the one-year guarantee on what we fit.
- To ask for a review a week after the job, which you can decline by replying.
Who sees it
The four locksmiths and the shop staff, who see the job sheet and nothing more. The review platform receives your email address once. The police may be given details of a job if they ask in connection with a crime, and we will tell you unless the law prevents it. The booking form sends an email to us through the web host. We never sell or share your details, and we never share addresses, lock details or key records with anyone else.
How long we keep it
Bookings that do not become jobs are deleted after six months. Job sheets are kept for six years as accounting law requires and for the guarantee. Lockout ID records and car-key records are kept for two years. Key registers are kept while you are an account customer and for one year after.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it, or ask us not to send the review invitation. Email help@keystonelocksmiths.co.uk or write to the shop. We answer within a month. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This website sets a session cookie only when you send the booking form, to limit repeat submissions; it expires when you close the browser. There are no analytics or advertising cookies. The day-and-night rate shown in the bar at the top is worked out from the clock and stores nothing. The map on the find-us page is loaded from Google, which may set its own cookies when it is displayed; the page works without it.
