Audits and downloads

The audit, in six photographs.

Every contract is scored every month against its own specification by a supervisor with a tablet. This is what the walk looks like, how the score is built, what happens when an area fails, and what arrives in your inbox. Below it, the documents a procurement team needs, ready to download.

The monthly walk

The supervisor

Once a month, unannounced to the operatives, the site supervisor walks every area in the specification with a tablet, scoring each line pass or fail with a photograph. It takes an hour on a 1,000 square metre site.

The score

The supervisor

Each area gets a percentage and the site gets one overall. The pass mark is 85. Last quarter the average across 64 sites was 92, the lowest 81, and that site had a second audit a fortnight later at 90.

The fix

The operatives

Anything that fails is listed with a photograph and a date. The operatives fix it within five working days and the supervisor photographs it again. The two photographs sit side by side on the next report.

The report

The office

A four-page PDF the same day: the score, the areas, the failures and fixes, the photographs, the hours signed in that month from the app, and a line for your comments. It goes to the person named in the contract and anyone else you add.

The trend

The office

Twelve months of scores on one chart at the contract review, with the failures grouped by type. It is how we catch a site that is drifting before you do, and how we decide where the training goes.

The tender pack

The office

Insurance certificates, accreditations, method statements, risk assessments, COSHH sheets, policies and a sample audit report, on the downloads page as PDFs, so a procurement team can build a tender file without a phone call.

The score

Pass mark 85. Last quarter's average across 64 sites was 92.

Each line in the specification is scored pass or fail with a photograph; each area gets a percentage and the site gets one overall. Under 85 triggers a fix within five working days and a second audit a fortnight later. The lowest score last quarter was 81, on a site where a new operative had started; it was 90 at the re-audit. We read the scores out at the monthly review, lowest first, and that is where the training budget goes.

  • Washrooms scored separately, because that is where contracts are judged
