What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the quote form we collect your name, phone number, email address and postcode, what the quote is for, where you are with it, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.
When you instruct us we open a client file: your identity documents and the result of an electronic identity and source-of-funds check, which the Money Laundering Regulations require; the details of the property, the will, the LPA or the estate; correspondence with you, the other side, lenders, the Land Registry, HMRC, the Office of the Public Guardian and the Probate Registry; and the financial record of the matter. Wills and LPAs contain family and health information by their nature, which is special category data and handled as such.
Why we use it
- To give you a quote and to do the work you instruct us to do (contract).
- To comply with the Money Laundering Regulations, the SRA Standards and Regulations, and our duties to lenders, HMRC and the courts (legal obligation).
- To send the Friday update and to tell you when a matter completes or registers (contract).
- To remind you every five years that a will may need reviewing, which you can decline (legitimate interest).
How long we keep it
Quote requests that do not become an instruction are deleted after six months. Client files are kept for six years after the matter ends, as the SRA and our insurers require, and conveyancing files for twelve years because title questions arrive late; wills and LPAs we store are kept until they are collected or superseded, plus seven years. Identity records are kept for five years after the relationship ends, as the regulations require.
Who sees it
The fee earner on your matter, Bethan on reception, and our outsourced accountant for the financial record. Beyond us, only the people who must have it to do their part: the other side's solicitor, your lender, the search providers, the Land Registry, HMRC and the Welsh Revenue Authority for Land Transaction Tax, the Office of the Public Guardian, the Probate Registry, the electronic identity-check provider, and our regulator and insurers if they ask. The form is delivered by email to us; we do not use third-party form services or marketing platforms, and we never sell or share your details.
