What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the booking form we collect your name, phone number, email address and postcode, a preferred date if you give one, the floor you are thinking of and roughly when, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions. The room measurer and the floor finder collect nothing: it is worked out from the address bar on each request and nothing is stored.
At the home measure we record the room sizes, notes on the subfloor and the doors, and sometimes a photograph of a room; the quote follows. When you order we hold the order, the payment records, the fitting date and what was fitted where, which we keep so a matching carpet or a spare plank can be found years later.
Why we use it
- To answer your enquiry and book the visit (our legitimate interest in replying to you).
- To perform the contract: measuring, ordering, fitting and the two-year fitting guarantee.
- To keep accounting records (a legal obligation).
- To ask for a review a fortnight after the fit, which you can decline by replying.
Who sees it
Our estimators and fitters; the flooring suppliers, who get the delivery address when a floor is delivered to you; our accountant; and the independent review platform if you agree to be asked. We do not sell or share your details for marketing, and we do not use tracking cookies or analytics scripts on this website. The map on the shop page is served by Google and is subject to their privacy policy; the fonts are served by Google Fonts.
How long we keep it
Enquiries and quotes that do not become an order are deleted after two years. Orders and the record of what was fitted where are kept for ten years, so a matching floor can be found; payment records for six years.
Your rights
You can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it where we have no legal reason to keep it, and object to our using it for marketing. Email hello@underfoot-flooring.co.uk or write to the shop; we answer within a month. If you are not happy with the answer you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
The booking form sets one session cookie so that it can stop the same person sending two requests within thirty seconds. It expires when you close the browser and carries nothing about you. Nothing else on the site sets a cookie.
