What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the booking form we collect your name, phone number, email address and postcode, how you would like to train, what has brought you here, a date if you give one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.
At the assessment we take a full history: the pre-exercise health questionnaire, injuries and operations, conditions, medication, bone scan results, and the letters from your physio, consultant or GP that you bring. This is special category data and we hold it only with your explicit consent, because we cannot programme safely without it. We then hold your programme, the numbers book (your lifts and measures), session notes, attendance and payment records. With your written permission we correspond with your physio or consultant and keep that correspondence.
Why we use it
- To arrange and deliver the coaching (our contract with you).
- To coach you safely and write the programme, which is why we hold the health history (your explicit consent, and your vital interests in an emergency).
- To liaise with your physio or consultant on the return-from-injury programme (your explicit consent, given in writing).
- To keep accounting records (a legal obligation).
- To ask for a review after your first programme, which you can decline by replying.
Who sees it
Mari and Ioan. Your physio or consultant, only what you have agreed we share and only with your written permission. A paramedic, in an emergency, the health questionnaire. The review platform receives your email address once. The booking form sends an email to us through the web host. We never sell or share your details, and nothing about your results or your body is published without written consent (the six people on the results page gave it).
How long we keep it
Bookings that do not become assessments are deleted after six months. Assessment records, programmes, the numbers book and physio correspondence are kept for three years after your last session, then deleted, unless you ask for them sooner (the book is yours and we give it to you). Accounting records are kept for six years as the law requires.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it, or withdraw consent for the health history or the physio liaison (in which case we may have to stop coaching you, and we will say so). Email hello@thestrengthroom.co.uk or ask either of us. We answer within a month. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
