What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the application form we collect your name, phone number, email address and postcode, the coaching you are interested in, how far away your show is, a date if you give one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.
If you become a client we hold your check-ins: weight, measurements, progress photographs, training notes and what you tell us about sleep, mood, appetite and, for women who choose to tell us, periods. This is health data, a special category, and we hold it only with your explicit consent because we cannot coach a prep safely without it. We do not hold blood test results; those stay with your GP, though you may choose to tell us whether they were normal.
Why we use it
- To deliver coaching (our contract with you), and to coach safely (your explicit consent).
- To keep accounting records (a legal obligation).
- To ask for a review after your first month and after a show, which you can decline.
Photographs
Check-in and posing photographs and videos are stored in an access-controlled folder that only Carys and Owen can open. They are never published, used in marketing or shown to anyone else without your separate written consent for each use, which you can withdraw.
How long we keep it
Applications that do not become coaching are deleted after six months. Check-ins and photographs are deleted two years after your coaching ends, or sooner if you ask; accounting records are kept for six years as the law requires.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it or withdraw consent. Email coach@stage-ready-physique.co.uk. We answer within a month. You can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This website sets a session cookie only when you send the application form, to limit repeat submissions. The weeks-out planner is worked out on the server and stores nothing. There are no analytics or advertising cookies. The map on the find-us page is loaded from Google, which may set its own cookies.
