What we collect when you enquire and stay, why, how long we keep it, and how to ask us about it.

What we collect

When you use the booking form we collect your name, phone number, email address, postcode, the room, how many of you, the first night and anything you write in the message box. The form also records the time it was sent and your IP address, used only to block automated submissions.

When you stay we keep a guest record: names, dates, the room, any dog, bikes, dietary or access needs you tell us about, and the payment. Hotels and guest houses must keep a register of overseas guests' nationality and passport details; for those guests we record what the law requires and nothing more. Card details are taken through our card terminal, never written down or stored by us.

Why we use it

  • To answer your enquiry, take the booking and look after your stay (the steps needed before and under a contract).
  • To keep the guest register and the accounts (legal obligation).
  • To cook a breakfast you can eat (your dietary notes, with your consent for anything health-related).
  • To write once a year about next year's dates, if you ticked the box (consent, which you can withdraw).

How long we keep it

Enquiries that do not become bookings are deleted after twelve months. Guest records are kept for three years after your last stay so we can recognise returning guests; the register for twelve months as the law requires; payment records for seven years. Dietary and access notes are deleted after your stay unless you ask us to keep them.

Who sees it

Ffion and Dafydd, our accountant, and the card terminal provider for card payments. We do not use a booking platform for direct bookings, and we do not sell or share guest details.

Cookies

This site sets a single session cookie to limit repeat form submissions. It contains no personal data and expires when you close the browser. The rooms page works from the address bar and stores nothing. The embedded map on the booking and find-us pages is served by Google and may set cookies under Google's own policy.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, or object to how we use it. Email stay@oldpostofficebnb.co.uk or write to the address above. You can also complain to the Information Commissioner's Office at ico.org.uk.
