What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the form we collect your name, phone number, email address and postcode, what you are interested in, when you usually play, a date if you give one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.

Members give us contact details, membership type and booking history. For juniors we also hold a parent's or carer's contact details, an emergency contact, and any medical information you choose to tell us so that we can look after your child.

Why we use it

  • To answer you, and to run your membership, bookings and coaching (our contract with you).
  • To keep children safe and to act in an emergency (legal obligation, vital interests and, for medical information, your explicit consent).
  • To keep accounting records (a legal obligation).
  • To send club notices, such as court closures. You can opt out of everything except what affects your own bookings.

Photographs

We do not publish photographs of named children. Group photographs including under-18s are used only with a parent's written consent. Tell the secretary if you would rather not appear in any club photograph.

How long we keep it

Enquiries that do not lead to membership are deleted after six months. Membership records are kept for two years after you leave, and accounting records for six years. Safeguarding records are kept for as long as the law and national guidance require.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it or withdraw consent. Email hello@llan-court-tennis.co.uk. We answer within a month. You can complain to the Information Commissioner's Office at ico.org.uk.

Cookies

This website sets a session cookie only when you send the form, to limit repeat submissions. The court grid and the fee calculator are worked out on the server and store nothing. There are no analytics or advertising cookies. The map on the find-us page is loaded from Google, which may set its own cookies.
