What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the survey form we collect your name, phone number, email address and postcode, a preferred date if you give one, what you are thinking of and roughly when, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions. The quote builder and the energy estimate collect nothing: it is worked out from the address bar on each request and nothing is stored.
At the survey we record the sizes of each opening, notes on the lintels, cills and brickwork, and sometimes photographs; the quote follows. When you order we hold the order, the deposit and payment records, the fitting date, the FENSA registration and the guarantee, which we keep so a sealed unit or a handle can be matched years later.
Why we use it
- To answer your enquiry and book the visit (our legitimate interest in replying to you).
- To perform the contract: surveying, making, fitting, registering with FENSA and the ten-year guarantee.
- To keep accounting records and register the work with FENSA (legal obligations).
- To ask for a review a month after the fit, which you can decline by replying.
Who sees it
Our surveyor, workshop and fitters; FENSA, who receive the address and what was fitted so they can issue the certificate; the guarantee insurer and the deposit protection scheme; the door and aluminium makers, who get the sizes; our accountant; and the independent review platform if you agree to be asked. We do not sell or share your details for marketing, and we do not use tracking cookies or analytics scripts on this website. The map on the showroom page is served by Google and is subject to their privacy policy; the fonts are served by Google Fonts.
How long we keep it
Enquiries and quotes that do not become an order are deleted after two years. Orders, the FENSA record and the guarantee are kept for twelve years, the length of the guarantee and a little more; payment records for six years.
Your rights
You can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it where we have no legal reason to keep it, and object to our using it for marketing. Email hello@gwent-glazing.co.uk or write to the showroom; we answer within a month. If you are not happy with the answer you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
The survey form sets one session cookie so that it can stop the same person sending two requests within thirty seconds. It expires when you close the browser and carries nothing about you. Nothing else on the site sets a cookie.
