What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the enquiry form we collect your name, phone number, email address and postcode, the kind of care, how soon it is needed, a start date and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions. The cost estimator and area checker do not store anything you type.

When we provide care we hold the person's contact details, next of kin, GP, care plan, risk assessments, daily care records, medicines records and health information, which is special category data and handled as such.

Why we use it

  • To answer your enquiry and arrange a first visit (legitimate interest).
  • To provide safe care under our contract with you or the council (contract, and the provision of social care).
  • To meet the requirements of Care Inspectorate Wales and the law on registered care services (legal obligation).
  • To share information with GPs, district nurses and the council where it is needed for the person's care or safety.

How long we keep it

Enquiries that do not become care are deleted after six months. Care records are kept for the period the regulations require after care ends, then securely destroyed. Invoices and payments are kept for six years.

Who sees it

The carers and office staff involved in the person's care, health and social care professionals involved in it, Care Inspectorate Wales during inspections, and our care-records software provider as a processor. Family members see what the person agrees they can see. We never sell or share details for marketing.
