What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the quote form we collect your name, phone number, email address and the postcode of the tree, a preferred date if you give one, what the job is and how soon, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions. The estimator and the postcode checker collect nothing: both are worked out from the address bar on each request and nothing is stored.
When we visit we make notes and take photographs of the tree and its surroundings, which go on the quote and the job sheet. When you book we hold the quote, the job sheet (the address, access notes, the rigging plan, the crew), the TPO or conservation area check and any application we make to the council on your behalf, which carries your name and address as the applicant, the invoice and payment records, and any report or survey we write. The storm line records the number that rang and the time, as any mobile does.
Why we use it
- To answer your enquiry and quote the job (our legitimate interest in replying to you).
- To perform the contract: planning and doing the work, applying to the council where the tree is protected, invoicing, and handling a claim under the public liability cover.
- To keep accounting records (a legal obligation) and the evidence of a dead or dangerous tree exemption, which the council can ask for.
- To ask for a review a week after the job, which you can decline by replying.
Who sees it
The crew on your job, the council tree officer where an application or notice is made, our accountant, and the independent review platform if you agree to be asked. We do not sell or share your details for marketing, and we do not use tracking cookies or analytics scripts on this website. The map on the yard page is served by Google and is subject to their privacy policy; the fonts are served by Google Fonts.
How long we keep it
Enquiries that do not become a job are deleted after twelve months. Quotes, job sheets, photographs, reports and invoices are kept for six years after the job for tax and insurance purposes; TPO applications are a public record held by the council. Storm line call logs are kept by the phone for ninety days.
Your rights
You can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it where we have no legal reason to keep it, and object to our using it for marketing. Email hello@wyevalleytreecare.co.uk or write to the yard; we answer within a month. If you are not happy with the answer you can complain to the Information Commissioner\'s Office at ico.org.uk.
Cookies
The quote form sets one session cookie so that it can stop the same person sending two requests within thirty seconds. It expires when you close the browser and carries nothing about you. Nothing else on the site sets a cookie.
