What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the booking form we collect your name, phone number, email address and pick-up postcode, what the car is for, when you need it, a date if you give one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.
When you book by phone or app we record your name, phone number, the pick-up and destination, the time, the fare and the driver, because a licensed operator is required by law to keep a record of every booking. The app records your location while you are booking so the dispatcher can send the nearest car. Every car carries a forward-facing dashcam whose footage is kept for thirty days. For school runs we hold the child's name, school, pick-up details and the notes the parent and the school gave us. For accounts we hold the business's details, the bookers' names and the invoice history.
Why we use it
- To send a car and get you where you are going (our contract with you).
- To keep the booking records the licensing law requires (a legal obligation).
- To run school and contract runs safely, which is why we hold the details the school and the parent gave us (our contract and the child's vital interests).
- To invoice accounts and keep accounting records (a legal obligation).
- To investigate a complaint, an accident or a lost-property enquiry, using the dashcam footage where necessary (our legitimate interest).
- To ask for a review after a journey, which you can decline by replying.
Who sees it
The office and the driver on your journey. The council licensing officer may inspect booking records under the licensing law. Dashcam footage is released only to the police or our insurer. The review platform receives your email address once. The booking form sends an email to us through the web host. We never sell or share your details for marketing.
How long we keep it
Booking records are kept for twelve months as the licensing law requires, then deleted. Dashcam footage is overwritten after thirty days unless it has been requested for an investigation. School-run records are kept for the school year and six months after. Account and accounting records are kept for six years as the law requires. Enquiries that do not become bookings are deleted after six months.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, or object to our using it, except where the law requires us to keep it. Email bookings@taffcars.co.uk or ask at the office. We answer within a month. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
