What we collect, why, who sees it and how long we keep it.
What we collect
When you book, enquire or become a customer we collect what you give us: name, contact details, the property address, the boiler or system details and the work done. For landlord certificates we also hold the tenant's name and contact details for access, which the landlord gives us. We record the IP address a form was sent from to deal with spam. This website sets no cookies of its own and runs no analytics or advertising scripts; the map on the contact page is loaded from Google when you scroll to it.
Why we use it
- To book, carry out and invoice the work (our contract with you).
- To register boiler warranties with the manufacturer, notify building control and issue gas safety records, which the law or the warranty requires.
- To send the service or certificate reminder you asked for, one message a year (your consent, withdrawn by replying STOP or emailing us).
- To keep records of work done for our guarantee, Gas Safe, our insurers and HMRC (legal obligation).
No marketing you have not asked for; we never sell or share your details for marketing.
Who sees it
The three of us, our accountant, boiler manufacturers for warranty registration, the local authority for building control notifications, finance providers if you apply for finance, and our email, diary and accounting software providers, which store data in the UK or EU.
How long we keep it
Enquiries that go nowhere are deleted after twelve months. Records of work, certificates and warranties are kept for ten years, the length of the longest boiler warranty we register. Reminder details are kept until you ask us to stop.
Your rights
You can ask to see what we hold, have it corrected or deleted, or object to how we use it, by emailing office@cwmheating.co.uk. We reply within a month. If you are unhappy with our answer you can complain to the Information Commissioner's Office at ico.org.uk.
