What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the join form we collect your name, phone number, email address and postcode, what you want to join, which sessions suit, a start date and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions. The next-session card and the price comparer are worked out on the page and store nothing.

Before your first session we ask for a short health questionnaire: injuries, conditions, medication, pregnancy and anything a doctor has said. This is special category data, held with your explicit consent. We then keep bookings, attendance, pass and membership records and payments. For the family session we hold the attending adult's details and the children's first names and ages.

Why we use it

  • To arrange and run your sessions (our contract with you).
  • To train you safely, which is why we hold the health questionnaire (your explicit consent, and your vital interests in an emergency).
  • To keep the attendance records our park agreement and insurer require.
  • To keep accounting records (a legal obligation).

Who sees it

Bethan and Osian. The health questionnaire is seen by whoever is leading your session and, in an emergency, by a paramedic. Our booking and email providers process it for us. If you join the members' message group, other members see your name and number there; joining it is optional. We never sell or share your details for marketing.

How long we keep it

Enquiries that do not become sessions are deleted after six months. Health questionnaires and attendance are kept for two years after your last session; accounting records for six years as the law requires.

Cookies

This site sets one session cookie when you send the join form, to limit repeat submissions; it expires when you close the browser. There are no analytics or advertising cookies. The map on the find-us page is loaded from Google, which may set its own cookies when it is shown; the drawn map on the meeting-point page is ours and sets nothing.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, object to how we use it, or withdraw consent for the health questionnaire (in which case we will have to stop training you). Email hello@ynysbootcamp.co.uk or ask at a session. You can also complain to the Information Commissioner's Office at ico.org.uk.
