What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the booking form we collect your name, phone number, email address and postcode, what you are after, when you can train, a date if you give one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.
Before your first class you complete a short pre-exercise health questionnaire: conditions, medication, injuries and any advice a doctor or physio has given you. This is special category data and we hold it only with your explicit consent, because we cannot coach you safely without it. Members' bookings, attendance, race sim splits and payment records are held in our booking system.
Why we use it
- To arrange and deliver classes, coaching and sims (our contract with you).
- To coach you safely, which is why we hold the health questionnaire (your explicit consent, and your vital interests in an emergency, when it may be shown to a paramedic).
- To keep accounting records (a legal obligation).
- To send your sim splits and, once, to ask for a review after your first month, which you can decline.
Who sees it
Rhys and Kerry. The booking system provider stores bookings on our behalf under a data processing agreement. Your sim splits are never published on a leaderboard or shared with anyone, including your doubles partner, unless you ask. We never sell your details.
How long we keep it
Enquiries that do not become bookings are deleted after six months. Health questionnaires, splits and coaching notes are kept for two years after your last visit, then deleted; accounting records for six years, as the law requires.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it, or withdraw consent for the health questionnaire (in which case we will have to stop coaching you, and we will say so). Email train@the-sled-shed.co.uk. We answer within a month. You can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This website sets a session cookie only when you send the booking form, to limit repeat submissions; it expires when you close the browser. The pace calculator and the race sim dates are worked out on the server and store nothing. There are no analytics or advertising cookies. The map on the find-us page is loaded from Google, which may set its own cookies when it is shown.
