What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the booking form we collect your name, mobile number, email address and postcode, what the bike needs and what kind of bike it is, a drop-off day if you give one, and what you write about the bike. The form also records the time it was sent and your IP address, used only to block automated submissions. The hire price page keeps nothing: the bike and the days are in the address of the page and nowhere else.
In the workshop we keep a job card for each bike: your name and number, the bike\'s make, model and frame number, what was done, what was measured and what is next (the service sheet you take home is a copy). For hire we keep the hire agreement with your name, address, number, a photograph of your ID, the bike and its size, and the card pre-authorisation reference for the deposit; we do not store card numbers. For a bike fit we keep your measurements and the fit sheet. For Cycle to Work we keep the quote and the scheme reference until the voucher is redeemed.
Why we use it
- To book, carry out and tell you about the work on the bike (our contract with you).
- To hire you a bike and to recover it or the deposit if it does not come back (our contract with you, and our legitimate interest in the fleet).
- To set up your next bike or a hire bike from your fit sheet (our contract with you).
- To keep accounting and warranty records (a legal obligation).
- To remind you when the sheet says the next service is due, which you can decline by replying.
We do not send marketing unless you have ticked the box for the newsletter, which you can leave by replying. We do not sell or share your details with anyone for marketing.
Who sees it
The four of us. Our card terminal provider, for payments and deposit pre-authorisations. The Cycle to Work scheme you use, for the quote, which they already hold. Motor manufacturers, for the frame and motor numbers on a warranty claim. Our accountant and our website host. None of them may use your details for anything else.
How long we keep it
Job cards and service sheets are kept for six years, because warranty and accounting require it and because the sheet is why the next service is cheaper. Hire agreements and the ID photograph are deleted thirty days after the bike comes back. Fit sheets are kept until you ask us to delete them. Bookings that do not happen are deleted after three months.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, or object to how we use it, by emailing hello@spokesandco.co.uk or asking at the counter. We answer within a month. If you are not satisfied you can complain to the Information Commissioner\'s Office at ico.org.uk.
Cookies
This website sets no cookies of its own. The booking form uses a session only to stop the same message being sent twice in thirty seconds, and the map on the Find us page is loaded from Google, which may set its own. There is no analytics script.
