What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the appointment form we collect your name, phone number, email address and postcode, what the appointment is for, how soon you need it, a date if you give one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.

When you leave a piece for repair we write a ticket with your name and phone number, a description of the piece, the price and the day, and we photograph the piece. For a commission we keep the drawings, the correspondence, the specification and the invoice. For a valuation we keep a copy of the document, with its photographs, for five years. When we buy gold or jewellery we are required by law to record your name, address and a photographic identification document, and to keep that record for six years.

Why we use it

  • To arrange appointments and carry out repairs, commissions and valuations (our contract with you).
  • To identify your piece and return it to the right person (our contract with you and our legitimate interest in preventing loss).
  • To keep the records the law requires when we buy precious metal (a legal obligation).
  • To keep accounting records (a legal obligation).
  • To ask for a review after a repair or a commission, which you can decline by replying.

Who sees it

Elin and Tomos. The Birmingham Assay Office receives a description of what we send for hallmarking but not your name. Our insurer sees the ticket and the photograph only if a claim is made. The review platform receives your email address once. The appointment form sends an email to us through the web host. The police may ask to see purchase records under the legislation on second-hand dealing, and we must comply. We never sell or share your details for marketing, and photographs of commissions appear on this website only with the owner's written consent.

How long we keep it

Appointment requests that do not lead to work are deleted after six months. Repair tickets and their photographs are kept for two years after collection, in case a question arises about the work, then deleted. Commission records are kept for six years so we can repair or remake the piece. Valuation copies are kept for five years. Purchase records and accounting records are kept for six years as the law requires.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, or object to our using it, except where the law requires us to keep it. Email hello@morganjewellers.co.uk or ask at the counter. We answer within a month. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
