What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the booking form we collect your name, phone number, email address and postcode, the kind of problem, how long it has been going on, a preferred day and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions. The where-it-hurts page does not store anything.
As a patient we hold your contact details, date of birth, GP, case history, examination findings, treatment notes, consent records and payments. Health information is special category data and handled as such.
Why we use it
- To arrange and provide your treatment (contract, and the provision of health care).
- To keep case notes as the General Osteopathic Council requires (legal obligation).
- To write to your GP or another clinician, only with your consent unless there is a serious risk to you or others.
- To invoice an insurer or employer, with your consent.
How long we keep it
Enquiries that do not lead to an appointment are deleted after six months. Case notes are kept for at least eight years after your last appointment, or until age twenty-five for patients seen as children, as professional guidance requires, then securely destroyed.
Who sees it
Your osteopath, and the other osteopath if they cover your care. Our clinic software and email providers as processors. Your GP, insurer or employer only with your consent. We never sell or share your details for marketing.
Cookies

Your rights
You can ask for a copy of your notes and anything else we hold, ask us to correct it, ask us to delete what we are not required to keep, or object to how we use it. Email hello@kingswayosteopathy.co.uk or write to the address above. You can also complain to the Information Commissioner's Office at ico.org.uk.
