What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the form we collect your name, phone number, email address and postcode, what you are asking about, a date if you give one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.
When a boy registers with the club we hold his name, date of birth, an emergency contact and any medical information you choose to tell us, because the league needs it for registration and his coach needs it to look after him.
Children's information
We collect the minimum and keep it with the secretary and his coach. The website never shows a child's name or a close-up photograph. Medical information is health data, a special category, and we hold it with your explicit consent.
Why we use it
- To arrange sessions and answer your question (our legitimate interest in running the club).
- To register a player and keep him safe (consent, and our legal duties).
- To keep the club's accounts (a legal obligation).
Photographs
Team photographs appear only with a yes from every parent concerned, and you can withdraw that at any time. Nobody takes pictures of other people's children at Trethomas Park without asking.
How long we keep it
Enquiries that do not become registrations are deleted after six months. Registration details are kept until two seasons after he leaves. Safeguarding records are kept for as long as the law and the national association require. Accounts are kept for six years.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it or withdraw consent. Email secretary@bedwas-boys-fc.co.uk. We answer within a month. You can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This website sets a session cookie only when you send the form, to limit repeat submissions. The Saturday page and the subs calculator are worked out on the server and store nothing. There are no analytics or advertising cookies. The map on the find-us page is loaded from Google, which may set its own cookies.
