What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the booking form we collect your name, mobile number, email address and postcode, the treatment and length you want, a day if you give one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.

At your first visit we take a short health history: injuries, conditions, medication, pregnancy, and anything a physio or GP has told you. This is special category data and we hold it only with your explicit consent, because we cannot treat safely without it. We then keep brief treatment notes after each visit, any training plan you share, and copies of referral letters we write or receive.

Why we use it

  • To book and deliver your treatment (our contract with you).
  • To treat you safely, which is why we hold the health history and the notes (your explicit consent, and your vital interests in an emergency).
  • To write to a physio or your GP when we refer you (your explicit consent, given at the time).
  • To keep accounting records (a legal obligation).
  • To ask for a review after a visit, which you can decline by replying.

Who sees it

Carys and Jamal. A physio or your GP, only what you agree we send and only when we refer you. Our insurer, only if a claim is made. The review platform receives your email address once. The booking form sends an email to us through the web host. We never sell or share your details for marketing.

How long we keep it

Booking requests that do not become appointments are deleted after six months. The health history and treatment notes are kept for eight years after your last visit, as our insurer and professional body require, then deleted; for anyone under eighteen, until their twenty-fifth birthday. Accounting records are kept for six years as the law requires.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it, or withdraw consent for the health history (in which case we may not be able to treat you, and we will say so). Email hello@recoversportsmassage.co.uk or ask either of us. We answer within a month. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
