What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the booking form we collect your name, phone number, email address and postcode, what you are interested in, when you can run, a date if you give one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.
Club members and coached runners fill in a short health questionnaire (conditions, medication, injuries, and an emergency contact). This is health data, a special category, held only with your explicit consent so we can coach you safely. We also hold race times, training paces, plans, and any video of your running from a form session.
Why we use it
- To arrange and deliver coaching, club runs and courses (our contract with you).
- To coach safely and act in an emergency (your explicit consent, and your vital interests).
- To keep accounting records (a legal obligation).
- To send club cancellations by text, and once to ask for a review, which you can decline.
Videos and photographs
Form-session video is sent to you and deleted from our phones within a month unless you ask us to keep it. We take club photographs only with the consent of the people in them and never publish under-18s.
How long we keep it
Enquiries that do not become coaching are deleted after six months. Health questionnaires, plans and race times are kept for two years after you last ran with us; accounting records for six years.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it or withdraw consent. Email run@long-stride-running.co.uk. We answer within a month. You can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This website sets a session cookie only when you send the booking form, to limit repeat submissions. The race predictor and the next club run are worked out on the server and store nothing. There are no analytics or advertising cookies. The map on the find-us page is loaded from Google, which may set its own cookies.
