What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the enquiry form we collect your names, phone number, email address and postcode, the date and the package you are interested in, where you are with the planning, and anything you write, which may include your venue. The form also records the time it was sent and your IP address, used only to block automated submissions. Checking a date on the availability page collects nothing: the date is not stored.
When you book we hold the contract, the deposit and balance records, the planning notes (your timeline, the group list, your suppliers' names, access and rain plans), and the photographs themselves, which include images of you and your guests. For albums we hold the design proofs and the bindery order. We do not store card numbers; payments are by bank transfer or through our card provider.
Why we use it
- To answer your enquiry and tell you whether the date is free (our legitimate interest in replying to you).
- To perform the contract: planning, photographing, editing, delivering and storing your gallery, and making albums.
- To keep accounting records (a legal obligation).
- To show your photographs on this website or our social accounts, only with your written consent, which you can withdraw at any time and we will take them down within seven days.
Who sees it
Anwen and Rhys. The gallery is hosted by our gallery provider and the album made by a bindery in Cardiff, both under contract to us; the enquiry form sends an email to us through the web host. We never sell or share your details, and we do not share your photographs with venues or other suppliers without asking you first.
How long we keep it
Enquiries that do not become bookings are deleted after twelve months. Contracts and accounting records are kept for six years as the law requires. The online gallery stays up for two years; we keep the edited files for ten years so we can resend them, and the raw files for one year after delivery. You can ask us to delete the photographs sooner at any time after delivery.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it, or withdraw consent for images shown publicly. Email hello@hafodweddings.co.uk or write to the studio. We answer within a month. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This website sets a session cookie only when you send the form, to limit repeat submissions; it expires when you close the browser. There are no analytics or advertising cookies. The map on the studio page is loaded from Google, which may set its own cookies when it is displayed; the page works without it.
