What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the design visit form we collect your name, phone number, email address, the property postcode, the service and budget you choose and anything you write in the message box. The form also records the time it was sent and your IP address, used only to block automated submissions.
When you become a customer we keep the survey, plans, planting lists, quotes, invoices and guarantee for your garden, because the guarantee requires it and because you or a future owner may want the planting plan.
Why we use it
- To reply to your enquiry and arrange the visit (our legitimate interest in answering you, and the steps needed before a contract).
- To carry out the work, invoice you and honour the guarantee (contract). Photographs of your garden are used on this site only with your written agreement.
- To keep guarantee and invoice records (legal obligation).
- To send seasonal reminders if you have asked for them (consent; stop at any time by email).
How long we keep it
Enquiries that do not become jobs are deleted after six months. Customer records, invoices, survey reports and guarantee certificates are kept for the life of the guarantee plus one year, or seven years, whichever is longer. Reminder lists are kept until you ask to be removed.
Who sees it
Our three staff, our accountant and the nurseries we order plants from (delivery address only). The booking form is delivered by email to our office; we do not use third-party form services or marketing platforms. We do not sell or share your details for marketing.
