What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the visit form we collect your name, mobile number, email address and postcode, what you are asking for and how you would like it, a date if you give one, and what you write. The form also records the time it was sent and your IP address, used only to block automated submissions. The emergency and vaccination pages send your choices in the address of the page and store nothing.
Why we use it
- To answer you and arrange a visit (taking the steps you asked us to take).
- To keep the clinical record for your horse, and to remind you when vaccinations are due (legitimate interest; you can opt out of reminders).
- To keep accounting records (a legal obligation).
We do not send marketing unless you have asked for it, which you can stop at any time by replying or telling us. We do not sell or share your details with anyone for marketing.
Who sees it
A referral hospital, or your insurer, or your farrier, when you ask us to send them notes or images. Our laboratory, for samples. Our card terminal provider, for payments. Our website host, for the form. Our accountant, for the accounts. None of them may use your details for anything else.
How long we keep it
Clinical records are kept for at least seven years, as professional guidance asks. Messages that do not become a client record are deleted after a year. Accounting records are kept for six years because the law requires it.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, or object to how we use it, by emailing office@greenhoof-equine-vets.co.uk or asking us in person. We answer within a month. If you are not satisfied you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
The website sets one cookie, a session identifier, only when you send the form, so that we can stop the same browser sending it twice in thirty seconds. It holds nothing about you and expires when you close the browser. There are no analytics or advertising cookies. The map on the Find us page is embedded from Google Maps, which may set its own cookies when it loads.
