What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the booking form we collect your name, mobile number, email address and postcode, what you would like to book, how many of you there are, a first night if you give one, and what you write. The form also records the time it was sent and your IP address, used only to block automated submissions. The availability page keeps nothing: the month, the pod and the nights you price are in the address of the page and nowhere else.

For a booking we keep your name, number, the pod, the nights, the number of guests and any dog, and the deposit record. For hampers we keep the order and any allergy you tell us. For canoes we pass your name, the number in the party and the date to the hire company in Monmouth, who run the trip. We do not store card details; the deposit link goes through our payment provider.

Why we use it

  • To run the booking, the hampers and the canoes (our contract with you).
  • To keep the allergy note for your hamper so it is packed safely, and the guest register our site licence requires (legal obligations).
  • To keep accounting records (a legal obligation).
  • To ask for a review after your stay, which you can decline by replying.

We do not send marketing unless you have ticked the box for the email when next season\'s calendar opens, which you can leave by replying. We do not sell or share your details with anyone for marketing, and we are not on the booking sites.

Who sees it

Elin and Tom, and the two people who turn the pods round on changeover days, who see the pod and the names. The canoe hire company, for a canoe trip. Our payment provider, our accountant, and our website host for the form. None of them may use your details for anything else.

How long we keep it

Bookings and the guest register are kept for a year after the stay, then the register is kept as the licence requires and the rest deleted, except the payment records, which the accounts require for six years. Enquiries that do not become bookings are deleted after three months. The calendar email list is kept until you leave it.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, or object to how we use it, by emailing hello@wyehollowglamping.co.uk or knocking at the farmhouse. We answer within a month. If you are not satisfied you can complain to the Information Commissioner\'s Office at ico.org.uk.

Cookies

This website sets no cookies of its own. The booking form uses a session only to stop the same message being sent twice in thirty seconds, and the map on the Find us page is loaded from Google, which may set its own. There is no analytics script.
