What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the booking form we collect your name, phone number, email address and postcode, the age of the person training, the discipline you asked about, a day if you gave one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.
When someone joins we hold their name, date of birth, address and emergency contacts, the adults allowed to collect a child, medical conditions and injuries you tell us about, grade and grading results, attendance, the association licence number, the direct debit details (held by the payment provider, not by us), and any accident record. Photographs are taken only with written consent given separately at joining and withdrawable at any time.
Why we use it
- To train the member safely and run the club (our contract with you).
- To license and insure the member with the governing body, which receives the name, date of birth and grade (our contract with you and the association\'s rules).
- To meet our safeguarding duties, including keeping a record of any concern and sharing it with the appropriate authority where the law requires (a legal obligation and the vital interests of the child).
- To keep accounting records (a legal obligation).
- Medical and injury information is special category data and is held with your explicit consent, to train the member safely.
Who sees it
The member\'s instructors, Gareth as welfare officer, and the office for memberships. The governing body receives licence and grading details; the grading panel sees the name and grade on the day. The review platform receives your email address once after three months, and you can decline by replying. The booking form sends an email to us through the web host. We never sell your details.
How long we keep it
Booking enquiries that do not become members are deleted after six months. A member\'s record is kept for two years after they leave, except accident and safeguarding records, kept until a child member\'s twenty-fifth birthday, and grading records, kept indefinitely as the record of the grade; accounting records for six years.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it, or withdraw consent for photographs or medical data. A member aged thirteen or over may make these requests themselves. Email train@ogmoremartialarts.co.uk or write to the club. We answer within a month. If you are unhappy with how we handle your data you can complain to the Information Commissioner\'s Office at ico.org.uk.
