What we collect, why, how long we keep it and how to ask us about it.

What we collect

When a parent or carer uses the booking form we collect their name, phone number, email address and postcode, the programme, the athlete's age, a day if given, and anything written in the message. The form records the time it was sent and the IP address, used only to block automated submissions. The programme finder stores nothing; the age and sport are in the page address and nowhere else.

When an athlete starts we hold, from the parent: the athlete's name and date of birth, emergency contacts and the adults allowed to collect them, a health questionnaire, consent for photos, attendance, technique cards, test results and payments.

Why we use it

  • To coach the athlete safely and run the sessions (our contract with the parent or carer).
  • Health information is special category data, held with the parent's explicit consent to coach safely.
  • To meet our safeguarding duties, including keeping a record of any concern and sharing it with the appropriate authority where the law requires.
  • To keep accounting records (a legal obligation).

Who sees it

The athlete's coaches and the welfare officer. With a parent's agreement, the athlete's club or school coach for contracts. The review platform receives the parent's email address once after the first half term. We never sell personal details, never publish athletes' names online, and never share photos without written consent.

How long we keep it

Enquiries that do not lead to training are deleted after six months. Athlete records are kept for two years after they leave; accident and safeguarding records are kept until the young person's twenty-fifth birthday; accounting records for six years.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it (subject to what we must keep), object to our using it, or withdraw consent for health data or photos. Athletes aged thirteen and over may make these requests themselves. Email hello@next-level-athletes.co.uk. We answer within a month. You can complain to the Information Commissioner's Office at ico.org.uk.
