What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the order form we collect your name, mobile number, email address and postcode, what the order is and how you would like it, a date if you give one, and what you write about the cuts. The form also records the time it was sent and your IP address, used only to block automated submissions. The pricer on the order page sends the cut and the weight in the address of the page and stores nothing. Orders placed at the counter or by phone are written in the order book with your name and number.
For a Christmas order we keep your name, number, the bird and the trimmings, the slot you chose, and the deposit paid, in the Christmas ledger and on the till. For a delivery we keep the address and any note about where to leave it. For a trade account we keep the business name, the contact, the delivery address, the order history and the invoices. We do not store card details; card payments at the counter, by phone and for deposits go through our card terminal provider.
Why we use it
- To cut, wrap, hold, deliver and tell you about the order (our contract with you).
- To keep the Christmas book and tell the farm how many birds (our contract with you).
- To run trade accounts and send invoices (our contract with you).
- To keep accounting and traceability records (a legal obligation).
- To ask for a review after an order, which you can decline by replying.
We do not send marketing unless you have asked at the counter for the Christmas reminder in September, which you can stop by replying or by telling us. We do not sell or share your details with anyone for marketing.
Who sees it
The four of us. Our card terminal provider, for payments. Our website host, for the order form. Our accountant, for the accounts. The local authority's environmental health officer, for traceability records, if asked. None of them may use your details for anything else.
How long we keep it
Order slips are shredded a week after collection. Christmas ledgers are kept for the following year so we can remind you, then shredded. Delivery and trade records are kept for six years after the last order, because the accounts require it. Traceability records are kept for the period the law requires.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, or object to how we use it, by emailing counter@glanmorbutchers.co.uk or asking at the counter. We answer within a month. If you are not satisfied you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
The website sets one cookie, a session identifier, only when you send the order form, so that we can stop the same browser sending the form twice in thirty seconds. It holds nothing about you and expires when you close the browser. There are no analytics or advertising cookies. The map on the Find us page is embedded from Google Maps, which may set its own cookies when it loads.
