What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the form on this site we collect your name, phone number, email address and postcode, what you are asking about, the date you mention if any, and anything you write in the message box. The form also records the time it was sent and your IP address, used only to block automated submissions.

If you or your relative move in or visit us for care, we keep a care record: health and care needs, medicines, care plans, daily notes, next of kin and any legal documents such as a power of attorney. Health and care records are special category data and are held under the stricter rules that apply to them. The fees page stores nothing: your choices are only in the web address.

Why we use it

  • To arrange visits and answer enquiries (the steps needed before and under a contract).
  • To provide care safely, which includes keeping records (contract, and our legal duties as a registered care home).
  • To share information with your GP, nurses, hospital and social services, as your care requires (provision of health and social care).
  • To report to Care Inspectorate Wales and safeguarding teams where the law requires it (legal obligation).

How long we keep it

Enquiries that do not become care are deleted after six months. Care records are kept for at least three years after a resident has left or died, as the regulations require, and financial records for seven.

Who sees it

Staff who care for you; your GP, nurses and hospital; social services and Care Inspectorate Wales where required; and our accountant for invoice records. The form is delivered by email to us; we do not use third-party form services or marketing platforms. We do not sell or share your details for marketing.
