What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the taster form we collect your name, phone number, email address and postcode, the dancer\'s age, the style you asked about, a day if you gave one, and anything you write. The form also records the time it was sent and your IP address, used only to block automated submissions.

When a dancer registers we hold their name, date of birth and address, the names and contact details of parents and of the adults allowed to collect them, medical conditions and injuries you tell us about, the classes and grades taken, attendance, exam entries and results, show routines and costume records, invoices and payments, and the photographs and film from the show taken by the licensed photographer. Exam entries are shared with the Royal Academy of Dance or the ISTD as the examining body requires: the dancer\'s name, date of birth and grade. Nothing is posted on social media without the written consent given separately at registration, which you can withdraw at any time.

Why we use it

  • To teach the dancer safely, keep the register and run the classes (our contract with you).
  • To meet our safeguarding duties, including keeping a record of any concern and sharing it with the appropriate authority where the law requires (a legal obligation and the vital interests of the child).
  • To enter exams with the RAD and the ISTD and to receive the results (our contract with you and the examining bodies\' requirements).
  • To keep accounting records (a legal obligation).
  • Medical and injury information is special category data and is held with your explicit consent, to teach the dancer safely.

Who sees it

The dancer\'s teachers and assistants, Nerys as safeguarding lead and Marcus as deputy, and Bethan in the office for invoicing and exam entries. The RAD and the ISTD receive exam entries; the Riverfront Theatre receives nothing about dancers, only ticket orders in the parent\'s name. The review platform receives your email address once after the first half term, and you can decline by replying. The taster form sends an email to us through the web host. We never sell your details, and we never share a dancer\'s photograph without written consent.

How long we keep it

Taster enquiries that do not become registrations are deleted after six months. A dancer\'s record is kept for two years after they leave, except accident and safeguarding records, which are kept until the dancer\'s twenty-fifth birthday as the guidance requires; exam results are kept indefinitely as a record of the qualification; accounting records for six years.

Your rights, and the dancer\'s

You can ask for a copy of what we hold about you and your child, ask us to correct or delete it, object to our using it, or withdraw consent for photographs or medical data. A dancer aged thirteen or over may make these requests themselves. Email hello@tempodance.co.uk or write to the studios. We answer within a month. If you are unhappy with how we handle your data you can complain to the Information Commissioner\'s Office at ico.org.uk.
