What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the booking form we collect your name, phone number, email address and postcode, the swimmer\'s age, the stage or lesson you chose, a start date if you gave one, and anything you write. The form records the time it was sent and your IP address, used only to block automated submissions. The level finder on the website stores nothing; your answers are in the page address and nowhere else.

When a swimmer starts we hold their name, date of birth, emergency contacts and the adults allowed to collect a child, medical conditions and additional needs you tell us about, the stage, the record card outcomes, attendance, the Swim Wales membership number, and invoices and payments.

Why we use it

  • To teach the swimmer safely and run the lessons (our contract with you).
  • To register the swimmer with Swim Wales, which receives the name, date of birth and stage (our contract with you).
  • To meet our safeguarding duties, including keeping a record of any concern and sharing it with the appropriate authority where the law requires (a legal obligation and the vital interests of the child).
  • To keep accounting records (a legal obligation).
  • Medical information and additional needs are special category data held with your explicit consent, to teach the swimmer safely.

Who sees it

The swimmer\'s teacher, Gemma as safeguarding lead, and Carys in the office. Swim Wales receives membership details. The leisure centre receives only the register for its lifeguards, with first names and stages. The review platform receives your email address once after the first half term, and you can decline by replying. We never sell your details.

How long we keep it

Booking enquiries that do not become lessons are deleted after six months. A swimmer\'s record is kept for two years after they leave, except accident and safeguarding records, kept until a child\'s twenty-fifth birthday; record cards go home with the swimmer; accounting records are kept for six years.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it, or withdraw consent for medical data. A swimmer aged thirteen or over may make these requests themselves. Email hello@splashswimschool.co.uk. We answer within a month. You can complain to the Information Commissioner\'s Office at ico.org.uk.
