What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the booking form we collect your name, phone number, email address and postcode, the rider's age band, the lesson or livery you chose, a day if you gave one, and anything you write. The form records the time it was sent and your IP address, used only to block automated submissions. The lesson finder stores nothing; your answers are in the page address and nowhere else.

When a rider starts we hold their name, date of birth, height and weight (to choose a safe horse), emergency contacts and the adults allowed to collect a child, medical conditions you tell us about, the lessons booked and paid for, and the accident book entries that involve them. For livery we hold the owner's details, the horse's passport number, vaccination and worming records, the vet and farrier, and the livery agreement and invoices.

Why we use it

  • To teach the rider safely and run the lessons and the yard (our contract with you).
  • To keep the accident book and the records our BHS approval and council licence require (a legal obligation).
  • To meet our safeguarding duties, including sharing a concern with the appropriate authority where the law requires (a legal obligation and the vital interests of the child).
  • To keep accounting records (a legal obligation).
  • Medical information, height and weight are held with your explicit consent, to choose a horse and teach the rider safely.

Who sees it

The rider's instructor, Elin as safeguarding lead, and Sian in the office. Weight and medical information are seen only by the instructor who chooses the horse. The BHS and the council inspector may see the accident book and the records during an inspection. The review platform receives your email address once after the sixth lesson, and you can decline by replying. We never sell your details.

How long we keep it

Booking enquiries that do not become lessons or livery are deleted after six months. A rider's record is kept for two years after their last lesson, except accident and safeguarding records, kept until a child's twenty-fifth birthday or for three years for adults; livery records two years after the horse leaves; accounting records six years.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, object to our using it, or withdraw consent for medical data. A rider aged thirteen or over may make these requests themselves. Email yard@cefnhirequestrian.co.uk. We answer within a month. You can complain to the Information Commissioner's Office at ico.org.uk.

Cookies and cameras

This website sets a session cookie only when you send the booking form, to limit repeat submissions; it expires when you close the browser. There are no analytics or advertising cookies. The map on the find-us page is loaded from Google, which may set its own cookies when it is displayed. The yard has cameras on the gate and the barn for security; footage is kept for thirty days and viewed only after an incident.
