What we collect, why, how long we keep it and how to ask us about it.
What we collect
When you use the quote form we collect your name, phone number, email address and postcode, what it is for and how soon, a date if you give one, and what you write. The form also records the time it was sent and your IP address, used only to block automated submissions. The kit builder and the schools page keep nothing: what you choose is in the address of the page and nowhere else.
For a club order we keep the club contact's details, the sizing sheet (players' first names or initials, sizes and the names and numbers to print), the badge file and the invoice. Children's names on a sizing sheet are used only to print them. For an online club shop we keep each buyer's name, address, email and order; card payments are handled by the payment provider and we never see the card number.
Why we use it
- To quote, make and deliver the order (our contract with you, or with the club or school).
- To keep the badge and the sizes on file for reorders, which the club asks us to do (our legitimate interest, and the club's).
- To run club and school accounts and recover what is owed (our contract with the club or school).
- To keep accounting records (a legal obligation).
We do not send marketing unless you have ticked the box for the newsletter, which you can leave by replying. We do not sell or share your details with anyone for marketing.
Who sees it
Our small team. The partner mill, for the names, numbers and sizes on a made-to-order kit. The courier, for deliveries. The online shop's payment provider. Our accountant and our website host. None of them may use your details for anything else.
How long we keep it
Sizing sheets are deleted twelve months after the order is delivered. Badge files are kept until the club asks us to delete them. Online shop orders and invoices are kept for six years, because accounting requires it. Enquiries that do not lead to an order are deleted after three months.
Your rights
You can ask for a copy of what we hold, ask us to correct or delete it, or object to how we use it, by emailing kit@kitbag-teamwear.co.uk or asking in the shop. We answer within a month. If you are not satisfied you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This website sets no cookies of its own. The quote form uses a session only to stop the same message being sent twice in thirty seconds, and the map on the Find us page is loaded from Google, which may set its own. There is no analytics script.
