What we collect, why, how long we keep it and how to ask us about it.

What we collect

When you use the order form we collect your name, mobile number, email address and postcode, what you would like and how you would like it, a date if you give one, and what you write about the book, the reader or the person the gift is for. The form also records the time it was sent and your IP address, used only to block automated submissions. Orders placed at the counter or by phone are written in the order book with your name and number.

For a subscription we keep the form about the reader (their name if you give it, what they have loved and hated, hardback or paperback), the address we post to, and a list of the books sent so we never send one twice. For an event or a club we keep your name, number and the seats or the place. The loyalty card is a paper card with stamps and holds nothing about you. We do not store card payment details; payments at the counter or by phone go through our card terminal provider.

Why we use it

  • To order, hold, post and tell you about the book (our contract with you).
  • To choose the subscription books and write the cards, which is why we keep the notes about the reader (our contract with you).
  • To manage events, clubs and waiting lists (our contract with you).
  • To keep accounting records (a legal obligation).
  • To ask for a review after an order, an event or a club, which you can decline by replying.

We do not send marketing unless you have ticked the box at the counter or on the form for the monthly newsletter, which you can leave by replying or by telling us. We do not sell or share your details with anyone for marketing.

Who sees it

The four of us. Our card terminal provider, for payments. Royal Mail, for the name and address on a parcel. Our website host, for the order form. Our accountant, for the accounts. None of them may use your details for anything else.

How long we keep it

Orders that are not collected are kept for a fortnight after the book arrives, then the book goes to the shelf and the slip is shredded. Order and subscription records are kept for six years after the last order, because the accounts require it. Event and club lists are kept for the season and then deleted. The newsletter list is kept until you leave it.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, or object to how we use it, by emailing hello@chapterandverse.wales or asking at the counter. We answer within a month. If you are not satisfied you can complain to the Information Commissioner\'s Office at ico.org.uk.

Cookies

This website sets no cookies of its own. The order form uses a session only to stop the same message being sent twice in thirty seconds, and the map on the Find us page is loaded from Google, which may set its own. There is no analytics script.
